Job Description : | The University of Illinois Urbana-Champaign has an opening for an Assistant Director of Research Administration with the Beckman Institute. This position is responsible for coordinating sponsored research administration activities, including proposal preparation, financial accounting, budgeting, and reporting functions related to grants and contracts that are administered by the Beckman Institute. For more information, visit http://go.illinois.edu/EEO.Duties and Responsibilities: PRE-AWARDOversee and coordinate the daily operations for all pre-award activities from proposal development through submission for the Beckman grants team. Supervise and develop pre-award duties including assigning proposal submissions, training the grants team on new policies/procedures, and overseeing the development of complex budgets. Provide policy recommendations to campus and identify procedural improvements for the team. Collaborate with various teams within the Institute to complete proposal submissions including administrative support staff and the Cancer Center of Illinois.Counsel faculty during the pre-award process for externally-funded research projects by conducting the preparation and review of budgeting and accounting activities required for proposal development and submission in accordance with generally accepted accounting principles and the policies and procedures of the University of Illinois, the Beckman Institute, and sponsoring agencies.POST-AWARDServe as manager for a wide range of post-award accounting, compliance, and reporting duties for the Beckman Grants Team. Supervise, train and develop post-award activity, policies and processes in accordance with the University of Illinois, the Beckman Institute, and sponsoring agencies.Assist in conflict resolution with grants and contracts business activities using independent judgment and interpretation with all parties including the Beckman Institute, the University of Illinois, and the funding agencies.Work with the Sponsored Programs Administration Office to prepare/submit/track research proposal information and assist in grants and contract negotiations/award management.Maintain required documents per University requirements. Use documentation to assist with the preparation of materials for audit purposes and responses to audit findings.Oversee the review and approval of expenditures charged to grant and related funds, including p-card, I-buy, travel reimbursements, payroll appointments, and miscellaneous items.OTHER DUTIES AND RESPONSIBILITIES Participate in upgrades to the Beckman Accounting and Reporting System which is the financial system for the Institute.Research, prepare, and analyze a variety of reports related to grants and contracts for researchers, departmental managers, constituents, governmental agencies and administration.Manage ongoing performance assessments with coaching and feedback, leave/travel approval, conduct annual performance reviews, and assign administrative duties as warranted.Participate in continuing professional development activities (e.g., conference, seminars, training) and on campus-committees to improve knowledge of technical and ethical aspects of accounting and business practices. Identify relevant training opportunities for team members.Qualifications: Required:Bachelor of Science in Accountancy, Finance, Business Administration, or related field. Alternative degree fields will be considered/accepted depending on depth and breadth of experience as it relates to this position and the mission/vision of the Institute.Two years of relevant grants and contracts or financial and administrative experience is required, as is experience working in a university research or similar setting.Preferred:Master’s degree in business, accounting or related field.Experience with University of Illinois policies, rules and financial systems, including BANNER and experience with approval queues.At least two years of supervisory experience.UIUC Certified Research Administrator Certification.Knowledge, Skills and Abilities:Working knowledge of automated accounting systems.Effective communication, organizational, analytical and problem-solving skills.Ability to be self-motivated, work independently, exercise good judgment and prioritize.Strong written and oral communication skills.Good knowledge of PC-based tools, including Word and Excel.SALARY AND APPOINTMENT INFORMATIONThis is a full-time Civil Service Grants and Contracts Associate position appointed on a 12-month service basis. The expected start date is as soon as possible after the closing date.
