Job Description : | Under supervision of the Clinical Operations Manager [COM], the Assistant Operations Manager [AOM] will be responsible for providing leadership and operational efficiency for a number of accounts with both virtual and/or on-site services. This includes but is not limited to people management, program operations, project management, client services, staffing, and management of their operational staff.The AOM is responsible for overseeing employees and delegating work tasks throughout their departments to ensure that these tasks are completed properly and in a timely manner. They work with their staff, clients, vendors, internal managers, accounting representatives, and administrative workers. Organizational and team building skills are essential. The AOM will oversee day-to-day operations of their service lines; working in conjunction with their COM to ensure staff compliance with set standards; hiring, training, and scheduling employees; and management of contracts. The AOM will be responsible for enforcing all internal policies and procedures to ensure complete compliance with regulatory or contractual requirements all while leading a highly effective team. Primary Duties and Responsibilities Work with COM to develop and implement operational policies and procedures Maintain excellent lines of communication with staff and COM Support and facilitate communication between staff and management team Demonstrate visibility on Teams chats Daily check in with team leads – Additional involvement throughout the day as needed Maintain direct oversite of employee payroll, performance, evaluations and recruitment and retention of staff Work with leadership to make sure the service/account/clinic meets contractual obligations Review, and enforce policies and protocols Find ways to increase quality of customer service Assist COM with managing budgets for supplies, payroll and any special projects Strong supervisory and leadership skills Outstanding communication skills, both written and verbal Excellent organizational skills; ability to prioritize, manage tasks effectively, and work independently; attention to detail is a must Experience building and leading highly effective teams Commitment to operational effectiveness Excellent customer service and collaboration skills with strong customer focus and a demonstrated ability to work seamlessly with cients Business Skills Analytical and problem-solving skills Ability to meet project standards of turnaround time and quality Demonstrate ability to work in a large team/complex clinical and technical environment with multiple stakeholder’s Demonstrate consistent multi-tasking skills and planning for prioritizing workload with focus on deadlines Utilize effective verbal and written communication skills for external and internal client relations Strong computer skills, including MS Office (Word, Excel, PowerPoint) Communication Skills Strong interpersonal, communication, facilitation, presentation and public speaking skills Strategic, cross-functional thinker able to gather buy-in from leadership for ideas and projects Maintain regular attendance based on agreed-upon schedule Ability to establish and maintain positive and effective work relationships with Co-workers, providers and clients Education: Associates or Bachelor’s Degree in HealthCare/ Communications or comparable work experience |
