Job Description : | JOB DESCRIPTION Job Title: Chief of Staff Department: AdministrationReports To: Chief Executive Officer FLSA Status: Non-ExemptSupervises: NoneWork Schedule: Regular Work Week Status: Full TimeNATURE AND SCOPE OF POSITION The Chief of Staff supports the mission and values of Girl Scouts Louisiana East by performing as an extension of the Chief Executive Officer. This position is a critical and trusted leadership role that involves strategic communication across all levels within and outside of the organization, decision making, project management, and working directly with the C-Suite and Board of Directors to identify, implement, and direct change management throughout the organization.PRIMARY QUALIFICATIONS Education: Bachelor’s degree is required;Master’s degree in Business or related field is preferred.Work Experience:Minimum of five (5) years of experience as a Chief of Staff, Executive Assistant, ProjectExperience: Manager, or related position is required.Experience working in non-profit or youth, community-service environment preferred.Experience working with volunteers is a plus.Certifications: NoneSpecial Skills: Ability to quickly become proficient in use of Board management software or applications (e.g. Boardable)Must possess the following human relations and interpersonal skills: o High degree of professionalism including the ability to maintain strict levels of confidentiality. o Effective conflict resolution skills with the ability to encourage consensus and teamwork. o Ability to effectively communicate verbally, and in writing, with diverse groups of individuals and to adapt communication to the audience and the situation.Must possess the following collaborative, analytical and problem-solving skills: o The ability to evaluate and assess situations, develop next steps, and resolve issues in a calm and professional manner. o The ability to effectively collaborate cross-functionally and lead team members to do the same.Must be flexible and adapt to change with differing responsibilities and deadlines, in a self- motivated and pro-active manner either independently or as part of an effective teamMust be computer literate with the capability of performing at a proficient level with Microsoft Office Suite of products (e.g. Outlook, Word, Excel, Power Point).Must be computer literate with or have the ability to learn quickly customer relations management software (e.g. Salesforce, Looker) or similar software applications.Other:Personal membership in GSUSA is required.Valid, unencumbered driver’s license and proof of vehicle insurance is required.The ability to travel to all council offices, other Girl Scout offices, and any other venue where Girl Scout activities are being performed, arriving in a timely manner and ready to perform job responsibilities is required.May require overtime work for certain times during the year or on an as-needed basis.May require evening and weekend work.Bi-lingual is a plus.JOB FUNCTIONS Essential Functions: Comply with and adhere to all GS and Council policies in a professional manner, independently, and with minimal oversight.Recommend and implement strategies as directed by the CEO to move the business forward, achieve growth, and impact positive change.Perform business and financial analysis to identify opportunities, drive culture change, provide valuable insights, and mitigate potential risks.Cultivate relationships with all senior leaders, Board members, and employees throughout the organization to build alignment across the business to achieve strategic and business goals.Manage and prioritize a strategic portfolio of diverse initiatives, projects, and work streams.Demonstrate agility, making quick pivots as required and successfully balancing competing business demands.Demonstrate the ability to manage high-profile projects and initiatives with limited oversight.Represent the CEO and the CEO’s perspectives at all levels of the organization, as well as with external partners or organizations.Oversee CEO communication, initiative prioritization, and scheduling.Work with CEO to coordinate and implement DEIRJ activities and initiatives.Serve as Legislative Liaison for GSLE and coordinate all governmental and legislative activities.Serve as Chair of the Employee Recognition and Involvement Committee (ERIC) and coordinate all virtual and in-person all-staff meetings.Oversee and manage all GSLE contracts including paper and electronic versions.Plan and coordinate special events and projects as assigned by the CEO.Assist Human Resources with ensuring annual compliance requirements of all employees.Model Girl Scout values and G.I.R.L. competencies and serve as brand ambassador internally and externally.Assist in achieving department/function initiatives and Council goals through effective and efficient performance of assigned duties and by collaborating cross-functionally as appropriate or directed.Maintain and protect Council operations by safeguarding confidential information and conveying information with extreme discretion.Coordinate meeting logistics for the CEO, Board of Directors Executive and Committee meetings; Annual Meeting, Town Hall, and Delegate meetings/trainings among others; prepare and disseminate meeting calendars, notices, agendas, minutes, handouts, etc.Perform tasks with an understanding of urgency and recognition of deadlines. Improve task efficiencies and continually look for ways to improve critical processes.Administer and maintain processes for maintaining legal and confidential information concerning the Council’s business affairs including paper and electronic versions.Prepare executive presentations, related materials, and correspondence; obtain, assemble, coordinate, and redraft material from appropriate sources.Process administrative invoices, check requests, credit card receipts, expense reports, etc. for the CEO.Maintain accurate and up-to-date CEO and event calendar(s) to ensure availability and to limit scheduling conflicts.Participate positively and actively engage in staff meetings and other events as required.Actively participate in ad-hoc projects and reporting requests (e.g. employee feedback/survey, audit).Other Duties: Represent the Council professionally, to both internal and external audiences, and provide courteous and prompt service to all internal and external parties, donors, members, volunteers, staff, and other community contacts.Identify opportunities and recommend methods to improve service, work processes and financial performance(e.g., procedure optimization).
