The key to our success is our personalized approach in assisting clients with a wide range of services from integrated wealth management and in-depth investment analysis to tax advantaged investing and tax preparation.We are currently looking to fill the position of Director of First Impressions for our Irvine Headquarters. This role plays an important part in setting the tone for prospective and current clients. As the first and last person they encounter on the phone or in the office, the Director of First Impressions is instrumental in making sure clients and prospects have a positive experience.Our Director of First Impressions is the “hub” of activity in the office, often interacting with and taking direction from multiple advisors and staff members throughout the course of the day.Responsibilities & Activities: Greets clients and makes them feel comfortable when they visit the office; offer them drinksMake coffee and tea as needed – keep track of when we need to order moreHandles incoming phone callsOrganize wholesaler lunches with the advisorsKeep the lobby and front desk area clean and organized, including appropriate literature and making sure we have candy for the candy dishMaintain the LPL compliance check log for all advisorsSchedule and confirm client appointmentsMaintain calendars for the advisors as requestedBasic client service such as:Scanning and I-Doc’ingUpdating client addressesResetting client’s technology passwordsSorts and distributes the mailApply postage to outgoing mail – drop outgoing mail and fedex packages in the dropboxHandles client birthday cards and electronic birthday cardsScanning and filing of client documentsMaintain tax prep packages for when investment clients decide to use us for taxesDuring tax season:Log and Scan incoming tax formsAccept payment for taxes and planning appointmentsLog picked up or mailed tax returnsLog returns kept at deskHave each client sign the Tax Prep AgreementAdditional administrative tasks as requestedRequired Experience and Skills: Previous receptionist or hospitality experienceThe ability to reprioritize your day depending on what is on your plateFlexibility and problem solvingExcellent interpersonal and phone skillsExcellent attitude and an extraordinary client service orientationA genuine interest in serving and caring for other peopleExcellent organizational and time management skillsProfessional presentationComputer literacySchedule and Benefits: · Full-time position, Monday-Friday 8:30am-5:30pm.· No time off in Q1 due to tax season.· Wage $15-$20/hour commensurate with experience plus quarterly bonuses· Paid vacation and sick leave.· Employer pays $150/month towards your group medical premium.Benefits:On-site parkingBonus schemeJob Type: Full-timePay: $18.00 – $25.00 per hourBenefits:Dental insuranceHealth insuranceVision insuranceSchedule:8 hour shiftSupplemental Pay:Bonus payWork Location: One location
