What we are looking for…
We are looking for someone who has a proven track record in event management, specifically in a luxury/high end environment. This person will be responsible for managing all aspects of planning, detailing and execution process for all weddings, social & corporate events, from site visits to contract conversion to final billing and post-event follow up. Works closely with Weddings & Events & Corporate Sales Managers, third party planners, and a variety of approved vendors to execute events that meet/exceed client expectations. Develops trusted relationships with AvantStay field operations, concierge & marketing to ensure client objectives are met while successfully balancing the capabilities/profit of the operation.
What you’ll do…
Conduct site inspections to develop relationships, provide program recommendations and create upsell opportunities
Assist corporate & event/wedding sales managers to support proposals
Works in tandem with Weddings & Events Sales Manager to develop trusted client and planner relationships
Assist in the creation of guest facing collateral, property guides and sales tools that will help enable us to close business
Event planning & management
Manages all elements of the event planning, detailing orchestration, billing and post-event follow-up process
Ensure all required event documentation is in order – event contract, insurance, and other documentation
Source vendors, negotiate rates and present options to clients to ensure all needs are met
Collaborate with concierge stakeholders to offer local experiences & up-sell opportunities
Provide customized proposals, event itineraries and planners to guests
Create & execute clear process & timelines for all necessary guest touch points from booking to day of coordination
Ensure complete familiarity with the event logistics, working with the sales team to ensure a successful handoff and communication is done prior to the event
Attend pre-event rehearsal, if scheduled
Greet event party upon arrival on the day of the event
Create detailed itineraries for all scheduled events
Coordinate timing of all scheduled activities
Serve as the main contact for the guests and attend to their needs
Handle all last minute adjustments
Provide post-event feedback to internal team in order to continually improve operations
What you’ll bring…
Minimum of 3 years of experience in luxury hotel catering/conference services/weddings and event services or event management
Excellent written and verbal communication skills
Exceptional follow through, attention to detail and sense of urgency
Ability to multi-task and coordinate multiple projects simultaneously
Thorough understanding of sales and event contract language
Strong client/guest service skills.
Ability to professionally represent AvantStay, and interact with clients in a polished, responsible, and timely manner.
Ability to run and analyze sales and reports and complete all program actuals.
Able to work flexible days and hours based on client programs and demands
Knowledge of competitive landscape
