Job Description : Job Summary The Lead Administrative Assistant will provide high-level administrative support for individuals, groups of professionals, departments, programs and see to other administrative functions. The individual in this role will independently perform non-routine administrative functions exercising discretion, such as coordinating events, conducting searches for information, or preparing reports. Additional duties may include drafting and editing correspondence, promotional materials, or presentations, monitoring operating budgets, maintaining financial records, handling non-routine inquiries and issues from internal and external sources. The Lead Administrative Assistant will also provide functional or administrative supervision over other support positions plus may also serve in a lead capacity for assigned programs or for special projects. The main area of support is for the Institute, the leadership team, and affiliated faculty. Focus is on non-routine administrative support in communication, planning, and financial management. This role will be responsible for planning, promoting, and supporting in-person, hybrid, and virtual meetings and events. Required: High school diploma/GED Four (4) years of experience in an administrative support role Excellent written, verbal, and interpersonal communication skills Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality Strong organizational and time management skills and attention to detail Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc. Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs Ability to interpret policies and procedures to proactively resolve issues or improve processes Ability to identify problems and implement or recommend solutions Drafting, proofreading, and editing skills Ability to lead others and provide direction and constructive feedback Experience in maintaining accounts for social media and familiarity with and ability to use business-standard support and project management tools (eg, Slack, Asana, Smartsheet, Google Suite, Miro, Zoom, Webex, Teams, databases) Ability to learn new skills in an evolving environment Familiarity with making and editing surveys (eg, Qualtrics) and using scheduling software (eg, Doodle etc) Additional Information: All new hires will be expected to follow Protect Purdue guidelines To learn more about Purdue’s benefits summary Purdue will not sponsor employment authorization for this position A background check will be required for employment in this position This was formerly classified as an operational/technical position; an internal lateral transfer will retain same benefit standing FLSA: Non-Exempt (Eligible For Overtime) Retirement Eligibility: Non-exempt Defined Contribution Plan Purdue University is an EOE/AA employer.
