Job Description : | LEAD CLERK Salary = $51,000 to $58,000 (Offer will be commensurate with experience) Typical working hours occur during the Court’s regular business hours, which are Monday – Friday, 8:00am – 5:00pm EST. As a condition of employment, if selected for the position, the City will require proof that you have received the COVID-19 vaccine or have a valid religious or medical reason not to be vaccinated. Work includes assignment of specific operational tasks to staff, monitoring performance and general achievement of work product and responsibility for completion of special projects within the division. Requires independent judgment and decision-making based upon knowledge of case processing requirements, court procedures, policies and Michigan Court Rules; directs and coordinates daily Case Management operations and staff; and assists supervisory personnel with operational problems, complex questions and the implementation of new programs, procedures or services. Examples of Duties: Provides direct supervision of Case Management staff; Schedules, assigns and coordinates work of subordinate staff; Reviews and approves employee time in the human resources management system; Counsels employees regarding performance problems; Monitors staff performance and general achievement of work product to ensure that efficient, effective service is provided to court customers; Provides training and support for Case Management staff as needed; Responsible for completion of special projects within the division; Assists other employees, supervisors, city departments, other agencies or the general public with questions and case filings, including complex or unusual matters; responds to procedural questions; and handles complaints from disgruntled customers; Assists in reviewing or developing practices and procedures in accordance with local and state court policies as needed; Assists in applicant interviewing and selection for Case Management as well as training of new employees; Runs reports from case processing information systems, gathers and assembles data and compiles reports as required. Analyzes data or interprets information for the purposes of assessing work unit and/or individual performance and efficiency; Responds to inquiries at the public service counter or by telephone regarding cases; Opens, updates and closes case files or ticket files. Prepares file folders, assigns case numbers, maintains Registers of Action, and confirms service of process; reviews forms to ensure correct information and advises parties of errors or omissions; sets dates for court appearances according to established procedures; Prepares forms, warrants, summons, orders and other legal documents; Updates all required case information into the case management system; Operates and balances cash drawer; accepts, records and receipts payment of fees, fines and costs, cash bonds, and other monetary transactions as required; Files case files, forms, cards and other documents both alphabetically and numerically in established filing systems; Locates and retrieves case files, forms and other documents from an established filing system; Transports, carries, moves files to and from various locations within the court; Operates equipment such as: typewriter, PC, calculator, fax machine, point of sale terminal, printers, copiers, and shredder; Other duties as assigned by the judges or court administrator. Requirements: Be at least 21 years of age; Have no felony or misdemeanor offense convictions; Pass a criminal background check and drug test; Possess a high school diploma or equivalent; Pass testing requirements to be a certified LEIN (Law Enforcement Information Network) operator within six (6) months of employment and recertify as applicable; Have a minimum of five (5) years office or clerical experience in an office or court environment; Have a minimum of one (1) year supervisory experience in an office or court environment; Have knowledge of legal terms, court processing requirements, court practices and court policies; Be able to understand and follow oral and written instructions; Be able to work independently and to set priorities to meet deadlines; Be able to work well in a team environment; Possess attention to detail and accuracy in work performance; Possess good organizational, filing, verbal and writing skills; Possess strong public speaking skills; Be computer literate, including the ability to use Microsoft Office Suite; Possess the ability to use sound judgment within established procedural guidelines; Be capable of performing the work related in this posting. Preferred Experience or Education: Financial accounting experience; Cash handling experience; Bachelor’s degree from an accredited institution in business, public administration or a closely related field. |
