Job Description : | Job Description: Executive Assistant and Practice Manager for Integrated MD CarePOSITION SUMMARY: The Practice Manager is responsible for executive assistance to Practice leadership, Client coordination and care, Practice development, operations, administration and communication.PRACTICE SUMMARY: Integrated MD Care (IMDC) is a unique medical practice primarily focused on supporting Clients dealing with complex and terminal medical conditions. Established by Dr. Bob Uslander in 2016 and led in partnership with Elizabeth Uslander since 2017, IMDC provides comprehensive, high-touch, in-home supportive care to a small number of Clients (patients) and their loved ones, primarily providing end of life care.REPORTS TO: Leadership Team: Dr. Bob and Elizabeth UslanderSUPERVISES: NoneQUALIFICATIONS: Education: Bachelor’s Degree required;Experience:Minimum three years as an executive or administrative assistant or manager in a healthcare setting andMinimum three years in-home healthcare (ie: hospice, home health, care management) orconcierge medical practice experience;Core Competencies: Alignment with the organization’s mission and philosophy; excellent written and oral communication skills; high emotional intelligence and connective relational skills; highly attentive to detail; self-motivation and proactive problem-solving skills;Requirements: Availability Monday – Friday between 9 am – 5pm; availability after-hours and weekend as needed; ability to work remotely; familiarity with Practice Management systems.FUNCTIONS & RESPONSIBILITIES: 1. Executive Assistance and Office Management: Provide personal assistance support to LeadershipTeam, and support Practice function, including but not limited to: a. Manage Practice client care, administration, communications and relationships; b. Maintain calendar and scheduling for Practice providers; c. Oversee organization’s and providers’ legal and medical compliance requirements (eg: licensing, insurance); d. Work-related research and errands (eg: collecting mail, delivering Client paperwork); e. Monitor inventory and purchase supplies as needed;2. Client Care and Coordination: Track all aspects of Client care to ensure appropriate follow up at each turn, including but not limited to: a. Intake i. Serve as initial and primary point of contact for all Clients; ii. Intake Calls: Explore and document Client needs and Practice services; iii. Client Registration: send, receive and process Practice registration documents; iv. Schedule visits with provider and communicate details to Client and Practice team; b. Relationship Management i. Develop rapport and maintain availability and communication with Clients; ii. Meet and/or manage Client needs as they arise; iii. Coordinate visits to Clients as requested; iv. Create and send condolence cards; c. Clinical Administration i. Document patient care services, including visits and concurrent communications inEMR and other systems and report to IMDC team members; ii. Coordinate orders, referrals, communications, and scheduling for our team, specialists, other providers, Integrative Therapists and outside resources (eg: in-home lab draws and diagnostic studies, home health, hospice, DME, pharmacies, etc.); iii. Manage patient prescriptions, including refills;3. Administration: Execute, document and report communications and coordination with all relevant parties, including but not limited to: a. Organize and document office administrative processes; b. Maintain organized records for each Client in all Practice systems; c. Manage and oversee Practice operations systems (eg: EMR’s, communications tools, IT support, etc.); d. Provide Human Resources support, including but not limited to: i. Maintenance of HR records; ii. Oversee relationships with employees, contractors and vendors; iii. Send and receive documentation for employee and independent contractor engagement; e. Assist with flow of financial information and process support as requested, including but not limited to: i. Support with Payroll communication and documentation; ii. Support with invoicing and payment processing; iii. Collaboration with financial experts (ie: bookkeeper, CPA, CFO).4.. Communications: Receive, process and report to Client care team all incoming and outgoing communications in a timely fashion, including but not limited to: a. Attend to all phone calls and faxes:i. Triage incoming calls: address the issue or disburse communications to appropriate staff; ii. Triage incoming faxes: address the issue or disburse communications to appropriate staff, complete and return paperwork when appropriate; iii. Execute follow up communications. b. Attend to incoming and outgoing documentation: i. Receive and submit orders, records requests, completed documentation as requested by IMDC staff and/or concurrent providers; ii. Receive, complete and appropriately disburse program specific communications and documentation; iii. Track progress and report relevant changes to leadership and/or Client care teams. c. Ensure accurate and updated Practice information with all contacts.5. Marketing and Outreach: a. Serve as point of contact for community relationships and manage contact database; b. Serve as liaison with marketing consultants; c. Oversee production of collateral and promotional materials; d.
