WHAT YOU BRING
Minimum Associate degree, (or equivalent combination of education and experience)
Minimum of two (2) years of office administration experience including facilities repair and maintenance
Supervisory experience preferred
Proven project management skills and experience successfully negotiating supplier contracts preferred
Ability to cultivate and maintain relationships with contracted architects, engineers, contractors, and volunteers for both long-term and discreet projects
Ability to take initiative and prioritize tasks with and willingness to handle all levels of office administration, including routine duties while moving long-term prospective projects forward
Bilingual in at least one Asian language strongly preferred (Chinese, Hindi, Korean, Thai, Tagalog or Vietnamese)
Demonstrated sincere commitment to social justice and serving on behalf of low-income, immigrant communities, AANPHI or non-profit environments preferred
Valid driver’s license and/or access to alternative means of transportation

ABOUT THE ROLE
This position reports to the Managing Director of the Orange County Regional Office. The Office Manager is responsible for managing facility operations at the Orange County regional office. This position administrates office support procedures for OC program staff to ensure smooth office operations. This position will closely coordinate OC operations with the Human Resources, Information Technology, and Facilities departments at the Los Angeles office.
Your day-to-day typically includes:
55% Administration of OC Office Operations
Manage office administrative processes to ensure seamless and safe operations
Assess office operations, procedures, and policies with an eye towards improvements to office systems
Create, negotiate, and maintain reliable vendor relationships that facilitate equipment purchases and services
Create effective, fail-safe office supply procurement overseeing OC supply orders
Function as a primary contact/liaison with onsite property management to report, request, and troubleshoot problems with facility
Assess facility maintenance needs relating to security, operational functions, and space planning
Maintain records relating to facilities, including vendor and building files
Advise and support the Managing Director regarding the vision and planning of OC broader facility and capital improvement
Collaborate with Facilities Manager on vendor research and/or minor and major renovations to facilities
30% Manage Administrative Support for OC Staff
Communicate openly and transparently with OC staff regarding facility questions, concerns, and security updates
Coordinate and facilitate OC staff trainings and safety demonstrations
Provide coordinated administrative function support for LA based managers of Facilities, IT, and Human Resources departments
Function as liaison and service bridge to LA based IT and Facility Managers regarding OC issues
Oversee and enforce building rules and health & safety protocols
Conduct new staff and volunteer orientations regarding standard office operations and policies
Manage entry and exit for guests, walk-ins, and vendors to enforce capacity limits and traffic
15% Other Duties
Work closely with Managing Director, to assist in office outreach, advertisement, and engagement efforts for OC office
