Order Management Specialist manages all order management functions (EDI management, PO Tracking, Billing Tracking, Payment Tracking) for VZW SNAP program, specializing in equipment’s (HW, SW). Additionally, the Order Management Specialist is responsible for analyzing, reconciling, validating and execution pricing management/ purchase orders while maintaining cross functional engagement with SEA Accounting, Sales Ops, Field Sales team.
Role and Responsibilities
Responsible for Credit Memo, Commercial Return, and Billing Reversal approval requests & executions
Responsible for validating billing errors, and provide actions to close for Networks month end close with finance
Work with Process Innovation, and Customer Account sales operations as the OM representative for system/ process enhancements and corrections required to support current and future operating needs, ex. PO/ Billing structure/ Process enhancement and development
Serve as a Order Management POC to test and verify solutions, data mapping and definitions development, troubleshooting. Provide technical assistant from order creation, management and invoicing to data management plans
Manage relationship with internal teams (Field/ Corporate Sales, Accounting department) and Customers (buyers) in resolving purchase order/ change orders/ order cancellation/invoicing to collections related matters in timely fashion
Review all EDI purchase orders for accuracy and efficiently enter manual orders into SAP
Acquire approvals to effect pricing changes to SAP Master Data and PO pricing change as needed
Act as the primary point of contact to distribution centers and/or Logistics and cross functional departments to reconcile billing/ purchase orders to delivery to address match exceptions; providing accurate documentation and continual communication to customer throughout the process
Assigned as POC to resolves issues and contributes to Purcahse order issuance to receipts, Change Orders; Order cancellations and Returns as well as PO close out with Billing, and Collections
Responsible for Sales order validation and maintenance
This position is accountable for EDI data gathering; validating and reporting pertaining to POs, Billings, and Sales Order
Responsible for analyzing, consolidated, and reporting Aging AR for VZW SCM
Support, develop and implement robust metrics and reporting on order fulfillment/ management operations progress
Utilizes metrics to understand root cause and drive continuous improvement in planning accuracy
Provides SEA Management with reporting and data analysis as needed
Applies basic knowledge of departmental principles and procedures
Performs work within company and regulatory guidelines
Skills and Experience:
High School Diploma or equivalent with 6-10 years of directly related experience or Bachelor’s Degree with 5+ years of experience is required
The ability to develop and maintain excellent working relationships with various levels within the company and with various customer levels
Extensive knowledge and experience on SAP, and Ariba software
Requires experience with working with large data including consolidating multiple data set, analyzing number and facts and providing/presenting findings/results
Previous experience in the telecommunications industry required
The ability to manage, plan, organize, assign, schedule and prioritize multiple work assignments and projects as directed to achieve order management and fulfillment objectives
Demonstrates very high competency level in communication skills using oral, listening and written modes for internal and external communications at all management and staff organizational levels for both persuasions and/or the communication of technical information
Must be able to communicate proficiently in writing, through email and reports, or verbally production and product technical matters to an audience that may include less technically oriented listeners
The demonstrated ability to solve problems involving continuously changing situations
Must have attention to detail to ensure data analysis integrity
Experience using Microsoft PC software including extensive skills of Excel spreadsheets, Word and PowerPoint
